Description of Kiwanis Club Officer Positions

For our officer and director elections next week, I thought it would be helpful to provide the office descriptions per our Club Bylaws. I’ll also provide the informal description, too that is based on historical responsibilities accepted by previous officers.

President Рone year term October 1 РSeptember 30  (Article 4. Officers and Directors)

Bylaws: The President acts as the Club’s chief officer; presides at all meetings of the members and the board; and regularly reports to both groups.

Informal description: may also generate board meeting agenda, calendars meeting speakers, may keep club calendar, co-signs club checks and recognition certificates, attends quarterly District meetings to represent the club. Kiwanis encourages the President to complete the online training to become more familiar with the office and it’s responsibilities. Becomes Past President after the President’s term ends, which is a Board position.

Vice President – one year term October 1 – October 30

Bylaws: The vice president has duties as usually pertain to the office as may be assigned by the president or board.

Information description: generally acts as head of club committees and fills in for president to run/preside board and/or member meetings.

Secretary – one year term October 1 – September 30

Bylaws: The Secretary keeps the club’s records; promptly reports membership changes to KI; keeps minutes of club and board meetings; files required reports (if any) with local, national and other government authorities; and regularly reports to the members and board. The Board selects the Assistant Secretary.

Informal description: certifies club election results to KI and District, completes a monthly online report (Kiwanisone.org) by the 10th of each month, tracks volunteer hours, may keep the club calendar, takes attendance at club meetings, may prepare the Board agenda, prepares club recognition certificates, organizes inter-club visitations, etc. Very busy position.

Treasurer – one year term October 1 – September 30

Bylaws: The Treasurer handles and accounts for all club funds on authority of the board; maintains club financial records, and regularly reports to the members and board. The Board selects the Assistant Treasurer.

Informal description: prepares monthly financial statements for board review, keeps check books, writes checks, manages cash/income at events (happy bucks, raffle money, etc.) and club meetings, manages bank signatures.

President-elect – one year term October 1 – September 30

Informal description: The president-elect has duties as usually pertain to the office or as may be assigned by the president or board. Generally, this is a training wheel position and expected to become next year’s President.

Immediate Past President – one year past term as President

Bylaws: The immediate past president has duties as usually pertain to the office as may be assigned by the president or board.

Informal description: may be assigned special projects by president or board, may preside at board or member meetings in place of the President.

Board Members (Article 6. Board of Directors)

Bylaws: 6.1The club board of directors consists of the president, immediate past president, president-elect, treasurer, secretary, vice president, and all directors, and such other positions as may be be required by the laws of local jurisdiction. The Kiwanis Club of Mukilteo has six (6) board members, elected in staggered years. 3 new Board members are elected each year for a two-year term October 1 – September 30.

Responsibilities: 6.2 The board has the following responsibilities:

  • provide general management of the club not otherwise delegated to the membership in these bylaws or club policy.
  • assure the club complies with applicable governmental rules and regulations.
  • determine the good-standing status of members in accordance with club policy.
  • perform other duties as provided in these bylaws and club policy.

Election Qualifications (Article 5. Elections and Vacancies)

Bylaws: Each officer and director (and nominees for same) must be a member in good standing with this club (i.e., dues paid). Any qualified, consenting member may be nominated either in advance or from the floor, according to club policy. (Article

Operations (Article 3. Operations)

3.3. One meeting each year between January 1 and May 15 will be designated as the annual meeting for club elections. At least 30 days previous notice of the annual meeting must be given to members.

3.5 At least one-third (1/3) of the club members in good standing constitutes a quorum, and no less than a majority vote of the members present and voting is required to approve all business unless otherwise provided in these bylaws or club policy. At least fourteen (14) days previous notice of any pending vote must be given to members.
